SARA PLATFORM:
Frequently Asked Questions
THE BASICS
-
A user is your login account. Each user can manage multiple profiles, including both performer and presenter profiles. For example, if you operate a venue and manage an artist, you can access both your presenter profile and the performer's profile from the same account.
-
A presenter can be any concert venue, promoter, or festival hosting live music events. A performer is a live performing artist. Any artists, band members, songwriters, or artist team members can be added to the Performer profile.
-
SARA offers three access levels: Admin, Editor, and View Only.
Admin: Full access, including managing users and profile settings.
Editor: Can create and edit events, setlists, and songs.
View Only: Can view profile information but cannot make changes.
Check out our video tutorial on adding new contacts in SARA.
-
The “Member Affiliation” section lets you add regularly affiliated band members, songwriters, publishers, and other collaborators with their PRO affiliation, IPI number, and role. You can also invite them to join your performer profile and use the SARA platform.
-
As a performer: Attaching a setlist and ensuring the accurate setlist is attached to the correct corresponding event.
As a presenter: Entering your gross revenue, ticket data, and ensuring correct performers are linked. Only the presenter and the artists associated with the event can see the gross and ticket information. It is not available to view by other venues or artists.
-
Open the event and scroll to the Setlist section. Select an existing setlist from the dropdown, or check "I Will Create a New Setlist for This Event." Click Save. If creating a new setlist, you'll be redirected to the setlist editor. Otherwise, the selected setlist will be attached to the event. Click here to watch our tutorial on building and attaching setlists to events.
-
The “New Song” feature lets performers add unreleased songs to setlists so the song can still be reported as part of the setlist. Click here to watch our video tutorial on adding a new song in SARA.
To add a new song to the SARA database, only the song title and creation date are required. While the remaining fields are optional, we strongly recommend completing as much songwriter and publisher information as possible to help ensure integrity of the data.
NOTE: You must ensure your new song has been registered with your PRO in order for it to receive royalties. The new song is only in SARA and must be registered separately with any other industry bodies (your PRO, the MLC, etc).
-
Currently, SARA supports automated setlist submissions only for BMI. Presenter profiles can export a General PRO Report for manual submission to PROs. Non-BMI performer profiles can either submit their setlists manually or provide Tour Tech with login information so we can submit it on their behalf.
Contact us at admin@tourtech.live to learn more about the available setlist submission options.
-
You can easily switch through the dropdown bar at the top of any page or review all profiles you have access to through My Profiles & Invites at the bottom of the lefthand navigation bar.
-

Check out our video tutorial on completing a performer profile.

Our PRO Calculator estimates concert and promoter license fees for individual events based on gross revenue and ticket sales.
Presenters can enter their PRO license rates in their profile to automatically calculate estimated fees for each event. Default rates are used when no license information is provided.Performers can view estimated fees and enter or edit gross revenue and ticket information at the event level only. Estimates use default PRO rates unless the Presenter has entered their specific license rates in SARA.
-
Because every PRO uses its own distribution methodology, SARA cannot calculate your exact payout. Payments are distributed through your PRO. To view your royalty payments, log in to your songwriter account with your respective PRO.
-
Gross revenue, ticket count, and drop count are visible only to users on your presenter profile and performers associated with that event. Artist settlement information is visible only to the respective performer and is limited to their own settlement—not those of other performers listed on the event.

Data can be slow to load! Click ‘Load Events’ in the lefthand navigation bar, then refresh your browser. If you know tickets to your event are available through a primary ticketing platform, please contact Tour Tech (admin@tourtech.live) if your events do not load. If you're playing an event that does not have tickets publicly available, we suggest manually creating your upcoming events.

Duplicates can happen! You can delete any duplicate events by opening the event, scrolling underneath the Save button, and clicking Click Here to Remove This Event. -
The PRO Calculator estimates fees for concert and promoter licenses, which are generally based on a percentage of gross ticket revenue or a per ticket fee. Licenses for bars, restaurants, and entertainment venues are typically calculated using annual fee schedules based on factors such as event type, music usage, and capacity so they are not included in the calculator.
